Projects and clients, with notes, files and rates
A searchable directory of clients and projects, each with its rate, budget, team, notes and files. Time, tasks, chat and agent work all hang on the same project, so what you did, what you can bill and what you agreed on stay in one place.
How it works
- Add a client with its name and, if you invoice it, its VAT number. A starter client and project are created when you sign up.
- Add projects under the client. Give a project an hourly rate and, if you want to watch it, an hours budget.
- Mark a project non-billable to override every task type on it, or leave billability to the task types.
- Optionally give the project a team, so only its members and admins can track time on it.
- Write the brief, meeting notes and decisions in the project's Notes, and drop contracts and screenshots in Files.
- Track time and tasks against the project from the timer, a task or your AI assistant. Reports roll everything up per client and project.
A directory that scales past ten clients
Projects is a searchable directory: clients with their projects grouped underneath, a count of notes and files on each, and a collapsed view once you pass eight clients. Open a project and you get Overview, Notes and Files tabs, and the tab is in the page address so you can link straight to a project's notes in chat.
Rates and budgets that don't rewrite history
- An hourly rate per project; every time entry keeps the rate it was tracked at
- A new rate applies to new time, with an opt-in checkbox to also reprice time that has not been invoiced yet
- Invoiced time is never repriced
- An hours budget per project, shown in Reports as burn that turns amber at 85% and red past 100%
- Archive finished projects and clients; their history stays in reports
Notes your team can write in
Notes are proper documents: headings, bold, italics and highlights, lists, checklists, quotes, code blocks, dividers and tables, with a toolbar like the one in a document editor. They autosave in versions, and if two people edit at once the second to save is shown the newer text and picks theirs or the other's, so nobody overwrites a colleague without noticing. There is no live co-editing yet. Notes are found by ⌘K search and are available as Markdown to the API and to AI assistants.
Files next to the work
Attach contracts, briefs, logos and screenshots to a project or client. Images and PDFs preview in place, any file can be up to 25 MB, everyone on the team can add files and the person who added a file, or a manager, can delete it. Files count toward the workspace's monthly usage, and you choose whether they are stored in the EU or the US.
Who can track on a project
By default everyone can. Give a project a team and only its members and admins can start timers, create time or move time onto it. Everyone else still sees the project's name where it appears in their history and reports, and editing an existing entry on it keeps working. Pickers in the web app, the Mac apps and for AI assistants only offer the projects a person can track on.
Client details for invoicing
Clients carry a name and a VAT number, edited by admins in Projects → Clients and available to the API, so your invoicing tool or script has what it needs. AI agents can add clients and projects only when an admin switches that on for the agent, and the project then shows who added it: "Added by Grok Bot, AI agent for Troels".
Frequently asked questions
Can I import my clients and projects?
Add them in the app, through the REST API, or ask your AI assistant to create them over MCP. The Harvest migration guide shows the export-and-API route.
Can a project have several people and a budget?
Yes. Any number of people can track on a project, and an hours budget shows burn in Reports.
Do notes support real-time co-editing?
Not yet. Notes autosave in versions, and if two people edit at once the second to save sees the newer text and chooses which version to keep.
Who can delete a file?
The person who added it, or a manager or admin.
Can an AI agent write in a project's notes?
Yes. Agents can read and write notes and files on projects and clients they have access to. Their appends never overwrite a person's edits, and replacing a note needs the current version.
Are projects and notes included on the free plan?
Yes. Unlimited projects, clients, notes and people are included. Files count toward the 500 MB of monthly usage.
