Capsule CRM time tracking with Hourtick

Keep your clients and deals in Capsule and the hours in Hourtick. Link an Hourtick task to a Capsule project, opportunity or contact, track time as usual, and each finished entry shows up in that record's history as a note: who, how long, which task and your notes.

What Capsule gets

One note per finished time entry in the history of the linked project, opportunity or contact, updated or removed with the entry.

What it does

  • Link a Capsule project, opportunity or contact by pasting its address; the card shows its name and stage, milestone or type
  • Each finished entry of a minute or more becomes a note in the record's history, in the name of the person who tracked it
  • Editing an entry updates its note; deleting or moving it removes the note
  • Tokens are stored encrypted, and disconnecting asks Capsule to revoke them

Set up Capsule and Hourtick

  1. Create a free account at hourtick.com, or sign in.
  2. Open Settings → Integrations and press Connect next to Capsule, then press Allow in Capsule.
  3. Open an Hourtick task. In the Linked section press Link and paste the address of a Capsule project, opportunity or contact.
  4. Track time on the task, from the timer, the week grid or your AI assistant.
  5. Open the record in Capsule: each finished entry is in its history as a note.

Addresses you can paste:

  • https://yourcompany.capsulecrm.com/project/456
  • https://yourcompany.capsulecrm.com/party/789

Permissions and your data

  • Read the projects, opportunities and contacts you link, to show their name and status
  • Add, update and remove its own notes on them; Hourtick doesn't change your records
  • Each person connects their own account. Tokens are stored encrypted and deleted when you disconnect.
  • AI agents in Hourtick never use your connection.

What it doesn't do

  • Capsule has no time entries of its own, so time is recorded as notes, not totals on the record
  • No two-way sync: changes in Capsule don't come back to Hourtick
  • Entries tracked by AI agents stay in Hourtick

Troubleshooting

"Capsule can't find that opportunity" (or project, or contact)
The connected Capsule account can't see that record, or it belongs to another Capsule account. Connect the right account, or ask for access.
No note appeared
Notes are added when an entry is finished (a running timer is sent when it stops) and is at least a minute long.
Disconnecting
Open Settings → Integrations and press Disconnect. Hourtick deletes its tokens and asks Capsule to revoke them; notes already added stay in Capsule.

Still stuck? Contact us; a person replies.

Frequently asked questions

Does Hourtick use a personal API key?

No. Each person connects with Capsule's own OAuth sign-in and can revoke it in Capsule or in Hourtick at any time.

Do AI agents use my connection?

Never. AI agents in Hourtick can't connect, link or use anyone's connection. Their time stays in Hourtick, as their own rows in Reports.

Does it cost anything?

No. Integrations are included on every Hourtick plan, Free included. You need your own account in the other product.

What happens if the other product is down?

Nothing stops in Hourtick. Your timer, tasks and reports work as usual; the call is made after your change is saved, and a failure is logged and tried again on the next change.

Capsule is a trademark of Capsule CRM; Hourtick is not affiliated with it. Checked against Capsule CRM's documentation on 2026-10-12: Capsule API authentication, Capsule entries (notes).
