Invoicing with Stripe

Turn tracked time into a paid invoice

Connect your own Stripe account and invoice a client's billable time in a few clicks. Stripe emails the invoice, your client pays by card or wallet without an account, and the money goes straight to you. The time locks as invoiced, so it can't be billed twice.

Pick the client. Billable time that isn't invoiced becomes lines, with VAT and the total. Check it and send.

How it works

  1. In Settings, connect Stripe: sign in to Stripe or create an account, about five minutes.
  2. Add a billing email to the client. Address, country and invoice language are optional.
  3. Click New invoice, pick the client and the period, and check the lines, VAT and total.
  4. Send. Stripe emails the client a link to pay, and you get a notification when it's paid.

Your Stripe, your money

Invoices are issued by Stripe Invoicing on your own Stripe account, with your logo and colours, your invoice numbers and your VAT number. Your business is the seller; the payment lands in your Stripe balance and is paid out to your bank. Hourtick never holds your money and never sees card or bank details.

Lines from the time, not from a form

  • Every line comes from billable time that isn't invoiced yet, at the rate each entry was tracked at
  • One line per project and task type, per person or agent, per day, or per entry
  • VAT from your settings: the standard rate at home, reverse charge for EU businesses abroad, none outside the EU, or set per client
  • Running timers and time without a rate are left out, and the preview says so

Easy for your client

The client gets an email in their language with a button to pay. The payment page takes cards and wallets such as Apple Pay and Google Pay, and whatever else you turn on in Stripe. The invoice links to a timesheet page with every entry behind it: date, who, what and hours. No account, no app.

Billed once, and only once

Sending locks the time as invoiced on every device. The database refuses to put the same entry on two live invoices, and a retried request returns the same invoice instead of sending another. Void an invoice and its time becomes billable again.

Agents that invoice, within limits

An agent can prepare and send invoices over MCP or the API. An admin decides which agents may send on their own, for which clients, up to which amount and until when. Anything outside that waits for a person to approve it. The amounts always come from recorded time and rates, never from the model.

Priced by use

Invoicing is part of every plan. Hourtick's fee is 0.25 % of each invoice's total, taken from the payment by Stripe. Stripe's own invoicing and card fees apply, charged by Stripe to your account. If you refund a payment, Hourtick refunds the same share of its fee.

Frequently asked questions

Do I need a Stripe account?

Yes, and you can create it while connecting. If you already use Stripe, sign in and reuse your details. Stripe asks for your business details and bank account; Hourtick never sees them.

What does it cost?

0.25 % of each invoice's total to Hourtick, plus Stripe's own fees. There is no monthly fee for invoicing and it's in every plan, Free included.

Who issues the invoice?

Your business, through Stripe Invoicing on your own Stripe account. Stripe numbers the invoice, makes the PDF and sends the email; you book it in your accounts like any other sale.

Can I still invoice from my accounting system?

Yes. Invoicing through Stripe is optional and only appears once you connect it. Marking time invoiced works as before.

Can an AI agent send invoices?

Only within a mandate an admin gives it: clients, a maximum per invoice and an expiry date. Outside it, the invoice waits for approval.

What about e-invoices (Peppol)?

Not yet. Stripe sends a PDF and a payment page. If your clients require structured e-invoices, keep invoicing those clients from your accounting system for now.
