Workspaces, roles and where your data lives

Each team has its own workspace with roles that decide who sees what. Your database stays in the EU, files are stored in the EU or the US as you choose, and Hourtick never watches your screen. Export your data whenever you want.

How it works

  1. Create a workspace when you sign up, or add another from the avatar menu. You can own up to 20.
  2. Invite people with single-use links and give them a role: admin, manager or member.
  3. Choose where files are stored, EU or US, before the first upload.
  4. Switch between workspaces from the avatar menu on the web, or in Settings on the iPhone app.
  5. Export CSV from Reports, and delete your own account from Settings if you ever need to.

Roles that mean something

  • Owner: everything, including the workspace itself
  • Admin: projects, rates, people, agents, invoiced marks and settings
  • Manager: team reports, approvals and editing team time
  • Member: their own time, tasks and chat
  • Visibility is enforced in the database query, not only hidden in the interface

Several workspaces, one login

A consultant can work with two clients' teams and a founder can keep an internal workspace and a project one. The avatar menu lists every workspace you belong to; switching is per device, so your phone can be in one while your laptop is in another. Each workspace has its own people, projects, plan and API tokens, and a token never crosses into another. There is one running timer per person across workspaces, so you can't double-track.

Where the data is

The database and the application run in the EU, on Akamai Cloud in Frankfurt, operated by WeCode A/S. Uploaded files go to EU storage by default; a workspace can choose US storage instead before its first upload, and the choice is remembered per file, so nothing moves later. The privacy policy, security page and subprocessor list name every provider.

No surveillance

Hourtick doesn't capture screenshots, record apps or websites, or log keystrokes. The Mac timer reads only the system idle counter while a timer runs. Presence shows who is online and, if they allow it, what timer is running; each person controls that setting.

Your data is yours

  • Export time as CSV from any report
  • Everything is available over the REST API and MCP, with personal tokens you can revoke
  • Delete your account yourself, in the web app or in the iPhone app
  • Removing a person keeps their tracked time in reports
  • Provider keys for cost checks are encrypted and never shown again

Frequently asked questions

Where is my data stored?

The database and servers are in the EU (Akamai Cloud, Frankfurt). Files are stored in the EU by default, or in the US if the workspace chooses that before its first upload.

Can I change the file region later?

Not after the first upload. Pick it in onboarding or Settings → Workspace before any file is added.

Is Hourtick GDPR compliant?

Hourtick is operated by WeCode A/S in Denmark, publishes a privacy policy, a data processing agreement and a subprocessor list, and records no screens, apps or keystrokes. See the legal pages for the details your own assessment needs.

Can I be in several workspaces?

Yes. Switch from the avatar menu. Tokens, plans and people are separate per workspace.

How do roles differ from plans?

Roles are permissions inside a team. They are not paid tiers: every role and every feature is on every plan.

Does Hourtick run AI models on my data?

No. Hourtick doesn't run or resell models. AI assistants and agents you connect see only what their role allows, and you can disconnect any of them at once.
